1. About these terms

These Terms of Service govern your access to and use of DrukKeep, a software service under development and operated from Thimphu, Bhutan.

By creating an account or using DrukKeep, you agree to these terms and the Privacy Policy. If you do not agree, do not use the service.

DrukKeep's registered legal operator information will be added before commercial launch.

2. The service

DrukKeep helps users organize document records, monitor expiry dates, manage workspaces, collaborate with authorized members, and receive reminders.

Features may be introduced, changed, suspended, or removed as the service develops. DrukKeep does not guarantee that every planned or experimental feature will become permanently available.

3. Development and testing status

During development or beta testing, DrukKeep may contain errors, incomplete features, interruptions, or changes that affect stored information or service availability.

Beta users should use test or non-critical information where possible and maintain independent copies of important records.

DrukKeep should not be treated as the only source of information about a document, deadline, renewal, or legal obligation.

4. Eligibility and accounts

You must be at least 18 years old and legally capable of accepting these terms to create an account.

You agree to provide accurate account information, maintain access to your registered email address, and keep your account credentials confidential.

You are responsible for activity performed through your account unless you promptly report suspected unauthorized access.

You must not share your password, impersonate another person, create an account using information you are not authorized to use, or attempt to bypass account security.

5. Your information and records

You retain responsibility for the information and records you enter into DrukKeep. You represent that you have the right, permission, or other appropriate authority to enter and manage that information.

You are responsible for checking the accuracy and completeness of your records, including document details, uploaded files, expiry dates, contact information, and reminder settings.

You should not enter or upload information that is unlawful, malicious, unnecessary, misleading, or unrelated to the intended purpose of the service.

You grant DrukKeep a limited permission to process, store, display, transmit, and back up your information only as reasonably necessary to operate, secure, and improve the service.

6. Workspaces and invitations

A workspace may contain information accessible to more than one authorized user. Workspace access depends on membership and assigned roles.

Workspace owners and authorized administrators are responsible for:

  • Inviting the correct people.
  • Assigning appropriate roles.
  • Reviewing and removing unnecessary access.
  • Ensuring that shared information is handled with appropriate permission.

You must not invite a person without a legitimate reason or use workspace features to disclose information without appropriate authority.

7. Reminders and deadlines

DrukKeep reminders are provided as an organizational aid. They are not a guarantee that a document will be renewed, that a deadline will be met, or that a message will be delivered or read.

Reminder delivery may be affected by incorrect information, email filtering, provider outages, internet connectivity, system maintenance, or other circumstances outside DrukKeep's control.

You remain responsible for checking official requirements, monitoring deadlines, and completing renewals or other required actions on time.

8. No professional or government advice

DrukKeep does not provide legal, regulatory, financial, immigration, insurance, medical, or other professional advice.

Information displayed by DrukKeep does not replace instructions, notices, records, or decisions issued by a government authority, regulator, insurer, employer, financial institution, or other responsible organization.

You should confirm important requirements directly with the relevant authority or a qualified professional.

9. Acceptable use

You must not use DrukKeep to:

  • Break any applicable law or regulation.
  • Store, share, or obtain information without appropriate permission.
  • Harass, deceive, defraud, threaten, or impersonate another person.
  • Upload or distribute malware, harmful code, spam, or abusive content.
  • Probe, scan, disrupt, overload, or attempt to gain unauthorized access to the service or another account.
  • Reverse engineer or circumvent technical, authentication, rate-limiting, or security controls, except where applicable law expressly permits it.
  • Use automated methods to extract information or place an unreasonable load on the service without written authorization.
  • Resell, sublicense, or commercially exploit the service without written authorization.

10. Service availability

DrukKeep aims to provide a reliable service, but uninterrupted or error-free availability is not guaranteed.

Access may be limited or interrupted for maintenance, updates, security, infrastructure failures, provider outages, legal requirements, or circumstances outside DrukKeep's reasonable control.

Users should maintain independent copies of information needed for important or time-sensitive purposes.

11. Third-party services

DrukKeep may depend on external providers for services such as hosting, databases, email delivery, monitoring, and security.

Third-party services may be governed by their own terms and privacy practices. DrukKeep is not responsible for a third-party service beyond what can reasonably be controlled through DrukKeep's relationship with that provider.

12. Ownership of DrukKeep

DrukKeep and its software, design, branding, content, and related materials are owned by or licensed to the DrukKeep operator, except for user-provided information and third-party materials.

These terms do not transfer ownership of DrukKeep or grant permission to copy, modify, distribute, or create competing versions of the service.

13. Suspension and termination

DrukKeep may restrict or suspend access where reasonably necessary to:

  • Protect users, information, or the service.
  • Investigate suspected misuse.
  • Respond to a security incident.
  • Comply with applicable legal requirements.
  • Address a material violation of these terms.

Where reasonably possible, DrukKeep will provide notice and an opportunity to resolve the issue. Immediate action may be taken when necessary to prevent harm or protect security.

14. Account deletion

You may request or initiate account deletion using the available account-management features or by contacting DrukKeep.

Deletion may be delayed or restricted when your account owns a shared workspace or has created information in another user's workspace. Shared responsibilities must be resolved before deletion to prevent unauthorized or accidental loss of information belonging to others.

Limited information may be retained where reasonably required for backups, security, dispute resolution, fraud prevention, or applicable legal obligations, as further explained in the Privacy Policy.

15. Disclaimer

To the extent permitted by applicable law, DrukKeep is provided on an “as available” and “as is” basis.

DrukKeep does not guarantee that the service will always be available, completely secure, free from errors, or suitable for every user's particular purpose.

Nothing in these terms excludes a right or responsibility that cannot lawfully be excluded.

16. Limitation of responsibility

To the extent permitted by applicable law, DrukKeep will not be responsible for indirect or consequential loss resulting from:

  • Incorrect or incomplete user-entered information.
  • A missed renewal, expiry date, or deadline.
  • A delayed, filtered, or undelivered reminder.
  • Unauthorized access caused by compromised credentials.
  • Third-party services outside DrukKeep's reasonable control.
  • Use of a development or beta version of the service.

This section does not limit responsibility where doing so would be prohibited by applicable law.

17. Governing law and disputes

These terms are governed by the applicable laws of the Kingdom of Bhutan.

Before starting formal proceedings, you and DrukKeep should first attempt in good faith to resolve a dispute by contacting each other and allowing a reasonable opportunity for a response.

Unresolved disputes will be handled by the courts or other competent authorities of Bhutan, subject to applicable law.

18. Changes to these terms

These terms may be updated when DrukKeep changes its features, business structure, service providers, security practices, or legal obligations.

Updated terms will be published on this page with a revised date. Material changes may also be communicated through the service or by email where appropriate.

If you continue using DrukKeep after updated terms take effect, you accept the updated terms. If you do not agree, you should stop using the service and request account deletion.
